Job Description

Parts Warehouse Employee

Essential Duties and General Responsibilities for Parts Warehouse employees include the following:

  1. Warehouse staff will be assigned to a work group. This will be their primary workload, but they will be used as deemed necessary by the manager as the workload, finish time or outstanding projects warrant.
  2. All paperwork is to be organized and relayed to the manager in a timely fashion.
  3. All shipped packages are to be organized, professionally and well-documented for the benefit of the receiver and for the reputation of the dealership.
  4. All staff is to communicate safety hazards immediately to their manager.
  5. When discrepancies in stock are identified, warehouse staff is expected to immediately take note of it and pass it to their manager.
  6. Toward the end of the shift all Warehouse Staff is responsible for cleaning, making sure all of the day's orders are correctly inventoried, all trash is taken to the dumpster, metal recycling, cardboard recycling and the bullpen and loading dock areas are clean and free of trash and parts.

Customer Order Puller

  1. This staff is to pick parts for delivery orders, will call orders and appropriate front counter orders.
  2. The minimum acceptable quantity pulled per day is 100.
  3. This staff is expected to communicate with the Warehouse Manager when the number of orders pending picking exceeds 30 minutes of work.
  4. This staff is to write their initials by each part they pull on the pick ticket.
  5. This staff is to write the time they finished pulling an order on the pick ticket.
  6. This staff is to bring to the Warehouse Manager's attention any parts that cannot be located.

Stockers

  1. This staff is to identify parts for specific customers that were shipped "Stock", record receipt of these parts and immediately give them to the Shipping and Receiving for processing.
  2. This staff is to identify parts that in short supply and are also located at other warehouse. They are to notify the Warehouse Manager of these parts.
  3. Staff is to restock Will Call parts and miscellaneous parts in the warehouse. This staff is to promptly and properly put into stock inventory received. Some of the guidelines to do this properly are as follows:
  • Face boxes
  • Remove bulk parts (screws, fittings, etc.) from packaging
  • Identify and fix parts that are nearby and stocked wrong
  • Communicating with warehouse manager when a problem is identified
  • Tape any open boxes shut

Shipping and Receiving

  1. This staff is to receive and process incoming overnight and priority freight.
  2. This staff is to immediately notify the selling salesperson and the Warehouse Manager of incoming external sales orders from courier via email.
  3. This staff is to immediately notify the selling salesperson, the Service Manager and the Warehouse Manager of incoming shop sales orders from courier via email.
  4. This staff is to charge freight as necessary when salespeople have failed to bill it and also bring this to the Warehouse Manager's attention.
  5. Staff is to change bin locations on Special Order Parts from "TEST" to 8101 or 8102, as reflects the correct bin location, for both emergency and stock orders.
  6. This staff is to notify the Warehouse Manager at the end of each day of orders that are not claimed by a salesperson.
  7. This staff is to prepare PAR's and present the list to the Warehouse Manager for approval at least once per week.
  8. This staff is to file for and ship all approved PARs back to the vendors.
  9. This staff is to ensure all orders are signed for in a log by the person who received the parts.
  10. This staff is to check all outgoing orders for accuracy and note that fact in a log. The log will contain shipping information and a reference to the contents.
  11. This staff is to complete RGAs.
  12. This staff is to store RGAs.
  13. This staff is to give the Warehouse Manager a copy of all RGAs.
Parts Delivery Driver

Essential Duties and Responsibilities for Parts Delivery Drivers include the following:

  1. Drivers must possess a valid driver's license for the type of vehicle they operate and keep the license with them at all times while operating the vehicle.
  2. Drivers are to abide by the Company Vehicle Driving Guidelines appended to this job description.
  3. Drivers are expected to make between 16 and 18 deliveries and pickups per day that are comprised of at least four runs. The delivery quantity depends upon the routes they have been assigned.
  4. Drivers are to place parts where the customer wants them in the customer's facility. Customers are not expected to assist; it is our task and our task alone to do this. Any reasonable request our customers make is to be cheerfully accepted and performed.
  5. No matter what assistance drivers receive at the dealership, they alone are responsible for making complete, accurate deliveries. Drivers are to check every order against the invoice for accuracy. Any incorrect parts numbers and/or missing parts should be brought to the Dispatcher's attention so they can remedy the situation.
  6. Drivers are expected to pick up dirty cores from customer facilities each time they make a delivery and cores are available. Cores must be tagged by the driver.
  7. All returns are to be given to the Warehouse Manager or designate.
  8. Communication devices are assigned to every driver; they are expected to have them on and be able to be contacted.
  9. When transacting directly with the customer, ensure all pertinent paperwork, including invoice, credit card, etc are signed.
  10. When drivers receive payment by a customer that is made by check, they are to call the dealership and talk with the Leadman during day hours and back counter during off-hours to get approval of the check. If the check is denied, the parts may not be left.
  11. Drivers will use the "Houston Freightliner, Sterling, Western Star Route Sheet" and fill it out correctly and completely. This form is to be turned into the dispatcher or their designate if they are not available.
  12. While in the warehouse, drivers are expected to assist in picking parts for their next set of deliveries.
  13. While in the warehouse, if there are no pending deliveries, drivers are expected to assist in the work of the warehouse.
  14. Because of the nature of their position, drivers spend most of their day away from the dealership, often take lunch break away from the dealership and do not have access to punch in and out. A lunch will be automatically assessed unless otherwise discussed and approved by their manager.
Employee Expectations: ALL Parts Department Employees
  1. Act in accordance with the policies and procedures established by Parts Department Manager and in the current Employee Handbook.
  2. Behave professionally.
  3. Work at least 40 hours per week and the ability to work weekends.
  4. Ensure that the Parts Department is clean and professional.
  5. All staff is expected to keep an eye out for the company's high-profile customers and go above and beyond what is normally expected.
  6. Stay up to date with training requirements, including Freightliner LLC, Sprinter, Detroit Diesel, KPA.
  7. Treat the tools they have been provided with care i.e. computer, telephone, etc. Keeping their workplace tidy and organized.
  8. Operate company equipment in accord with all safety requirements and manufacturer specification, safely and courteously and vehicle laws.
  9. Promptly report all suspicious or illicit behavior e.g. theft, potential altercations, customers misusing vending machines.
  10. Wear company issued uniform at all times, as appropriate.
  11. Perform miscellaneous work-related tasks as directed by their manager.
  12. In the event of separation of employment, an employee must work a complete month in order to receive any bonus that may have been awarded.

  • Traverse the department and/or dealership for up to 6
